The problem: the order lives in the chat
A customer sends a photo, asks the price, you quote it, they say "ok send", you collect payment by UPI screenshot, then someone has to book the courier and tell the customer it has shipped. Every step is manual and every step is where orders get lost: the screenshot was never matched to a customer, the COD order was never confirmed and came back as an RTO, or the customer is asking "where is my order?" because nobody sent a tracking update.
The fix is not a bigger notebook. It is to make the chat the front door and put the order itself in one system that knows its payment status, courier and customer.
The workflow, from catalogue to delivered
Put your catalogue on a store
Add products once, or let the AI builder create the store. Customers get a link they can open from WhatsApp, with real prices, variants and stock.
Let WhatsApp answer product questions
When a customer sends a product screenshot, a reel or a link, CatalogHub finds the matching product and replies with a card and a button to the store. Several matches arrive as one message, not a burst.
Customer orders and pays
They check out on your store through Razorpay or Cashfree (UPI, cards, netbanking) or PayPal. For higher-value or risky orders, partial COD lets the customer pay an advance online while the courier collects the balance on delivery. If a customer ordered over chat, ask the operator to create the order for them.
Confirm COD orders by WhatsApp
A COD confirmation message asks the customer to confirm or cancel, with a second reminder if they stay silent, so fewer fake or abandoned COD parcels leave your shelf.
Ship with Shiprocket or Delhivery
Book the courier from the order. Status changes flow back to the order as the parcel moves.
The customer is told automatically
Order confirmed, shipped, out for delivery, delivered and cancelled each send a WhatsApp message. A customer who asks "track my order" gets the status of their latest order without you typing.
Recover and repeat
Payment reminders and cart-recovery nudges go to people who did not finish paying, and a feedback request goes out after delivery. Later, send a WhatsApp campaign to people who bought before.
What you need to know before you start
Live today
- Store builder with Razorpay, Cashfree, PayPal and partial COD
- Shiprocket and Delhivery shipping
- WhatsApp order updates, COD confirmation, track-order replies and cart recovery
- WhatsApp bulk campaigns to your customer list
- CRM with every order and conversation in one customer record
Rules from WhatsApp and Meta
- You need a WhatsApp Business number connected to the store
- Messages you start (updates, reminders, campaigns) use templates that Meta must approve
- Marketing messages need the customer's consent; STOP replies are honoured and marketing sends are held overnight (9 PM to 8 AM IST)
- Meta limits how many new people a number can message per day, and marketing sends pause automatically if Meta flags the number's quality as poor
Orders placed by hand on WhatsApp are only as good as the details you enter, so use the store checkout whenever the customer can open a link. That is the path with payment status, the shipping address and the customer record attached automatically.
House of Dharaa, a fashion brand on CatalogHub, has whatsapp auto-reply enabled on its WhatsApp numbers and runs its orders through its CatalogHub store. Read the House of Dharaa case study.
